YOUR ROLE
We are seeking an experienced Marketing, Events, and Training Projects Coordinator to join our dynamic team. We are seeking an experienced candidate with a strong background in supporting sales and marketing events, organizing corporate gatherings and coordinating training programs. You will be responsible for planning, managing and when appropriate, staffing events to ensure they achieve their objectives, are fully intended, and foster brand awareness, client engagement, and skills development.
KEY RESPONSIBILITIES
Event Logistics Management: Oversee the planning and execution of all logistical aspects related to events, including venue selection, catering (food and beverages), travel arrangements, accommodation for participants and speakers, audiovisual equipment, translation services, and event materials. Ensure seamless coordination of these items to deliver successful and cost-effective events.
Customer Outreach and Recruitment: Manage outreach efforts to recruit participants for events. This includes creating targeted lists, sending out invitations, tracking RSVPs, and following up with potential attendees to ensure maximum participation and engagement.
Invitation and Response Coordination: Coordinate all aspects of invitations, including preparing invitation lists, managing distribution (email or physical), tracking responses, and ensuring accurate attendee records for each event. Follow up with invitees and provide clear communication regarding event details and any changes.
Partnership and Sponsorship Development: Identify and pursue opportunities for industry partnerships and sponsorships that align with event objectives. Negotiate and manage relationships with partners and sponsors to ensure their involvement enhances the event and contributes to overall success.
Event Planning and Budgeting: Develop and manage budgets for all events, ensuring financial oversight of all aspects, including vendor contracts, travel expenses, speaker fees, and equipment rentals. Ensure that events remain within budget while maintaining high-quality standards.
Vendor and Supplier Coordination: Select and manage external vendors and suppliers (catering, AV, equipment rental, promotional materials, etc.) to ensure timely delivery and setup. Negotiate terms and manage relationships to ensure vendor performance meets expectations and event needs.
Training Program Coordination: Work with internal subject matter experts to organize and manage training sessions, including onboarding, training, discovery, and professional development workshops. Schedule and coordinate sessions, manage participant registration, and ensure the effective delivery of content.
Post-Event Analysis: Collect and analyze feedback from event participants, sponsors, and partners. Prepare post-event reports summarizing successes, areas for improvement, and key metrics like attendee satisfaction and ROI. Use insights to refine future event planning strategies.
Travel and Logistics Management: Support business generally in booking travel arrangements for specialists travelling on client programs, and supporting associated logistics.
QUALIFICATIONS
Minimum of 5 years of experience in marketing, events, and project coordination within the IT or similar high-tech industry.
Proven ability to manage multiple projects simultaneously, with excellent organizational and time management skills.
Strong communication and interpersonal skills, with the ability to collaborate across departments and work effectively with external partners.
Experience coordinating outreach efforts, managing invitations, and recruiting participants for events.
Familiarity with managing partnerships and sponsorships in the IT industry.
Proficiency in marketing tools, and Microsoft Office Suite. Familiarity with Atlassian/ Jira considered especially valuable.
Budget management experience and strong negotiation skills.
Ability to thrive in a fast-paced environment, prioritize tasks, and meet tight deadlines.
Excellent personal, spoken and written presentation and communications skills: for many you will be the first impression potential clients have of our business

WORK LOCATION
Position will be based on site in our Rosebank, Johannesburg office. Remote working is not available.
CLEARANCE REQUIREMENTS
Applicants selected will be subject to a criminal and background check.
TRAVEL REQUIREMENTS
10 - 20% travel.
COMPENSATION AND BENEFITS
Market rate salary based on candidate experience, location and qualifications. Employees are also eligible to participate in the company’s health care insurance contribution program, pension contributions, life, and disability insurance, paid time off, and annual bonus program in line with company policies.
